Order Receiving, General TabThe Order Receiving General tab search selection via Receiving/ Update/ Order Receiving is used to search for open order receiving transactions in the system. As with the majority of the query selections on the system, it is better to select as many parameters as required to minimize your search result.
The following information/options are available in this window: Type The type of order being received. Based upon the order type, certain receiving, financial, and inventory behaviors will be assigned to the part at receiving. The order types exist under the Orders or Customer Orders Modules exclusively. All order types are hard coded into the programming syntax. Note: Contract orders (CO) and Sales orders (SO) are the only order type which may not be received. Order No. An auto-generated unique sequential number is assigned to each order. All Order Types which exist under the Order Module will receive their number for the following configuration:
Customer Orders will receive this number for the following configuration.
Legacy System Order Number The legacy number related to the order. The legacy number is typically identified and used by customers during implementation to cross reference their old systems order number to the new systems order number. Note: This does not apply to CO, MO or WC order types. Location The Location for maintenance events, inventory stores, orders, transactions, or training events.
Ship From Location Location from which order has been shipped. All locations are defined in the Location Master. All ship locations must be identified as an inventory location in the Location Master. Priority The priority placed on the transaction (e.g., routine, AOG, etc.). For additional information and functionality, refer to the Priority transaction code via the Orders Transaction Codes. Vendor/Customer drop down The system code for the service/part provider. Company Enter the name of the G/L Company the P/N was assigned to to query by. Note: For more information, refer to the Multi Company Functionality. Category The appropriate category for this transaction. This also works with the Authorization Process as defined against the Order Type. Note: The following configurations apply to the Category field:
P/N The Part Number reference for the aircraft part. S/N The Serial Number for the specific serialized part. Expedite Date The accelerated delivery date of this Order; rushed order based part requirement and order priority. Expedite Date may be defaulted as defined in the Order Priority System Tran Code. Condition The condition of the part. Maintenance / General Inventory / GSE Inventory Choose either maintenance inventory, general inventory, or GSE inventory depending on what kind of inventory the user is creating the order for. Please refer to the Settings manual for additional information regarding maintenance, general, or GSE inventory if required. Note: If a part cannot be located matching any of the above enter search criteria or any combination of the above entered search criteria, no records can be found. _____________________________________________________________________________________ The Export as Excel The Filter/Sort The search result will appear as shown below: Notice that each line on the order appears as an individual record on this window. The user should receive one line (part number) at a time. The user should select the line (part number) that they want to receive so that the Hand The following window will appear for an order that has not yet been received. Most information is taken from the documents that are delivered with the part. If necessary information or documents are missing, it is recommended to not receive the part into available stock until the papers are completed. In that case, the parts, for example, can be put on a quarantine location that is inaccessible. After the parts are received users are allowed to print the receiving information. This option is available through an automatic print generated after saving the order receiving. Note: Users are allowed to reprint Purchase, Exchange and Loan Order receiving prints by selecting the Print
Actual Received Date: The Actual Received Date prompt will appear in the Order Receiving window only if the External Receiving Vendor checkbox is selected for the Vendor for the order that is being received. Selecting this checkbox will trigger the following pop up message at Order Receiving. Enter an Actual Received date upon Order Receiving. The Actual Received Date will act as the Customs Received Date. All financial transactions and the exchange rate will be based on this date. For example, if the user enters an Actual Received Date of 10/10/2012, once the PO has been received, the correct Currency Exchange Rate will be reflected in the Inventory Detail History Transaction, General tab based on the exchange rate on 10/10/2012. For additional information, refer to the Vendor Master, Optional tab. Receiving - Advanced Exchange Order Out: When performing an Exchange Order Out Receiving transaction for a P/N that currently exists on an Exchange Order, the user will receive the following message informing the user that the P/N they are attempting to receive exists on an open Exchange Order. If the user selects 'No', they will receive a system generated notification. For information on how to set up this system notification, refer to System Notification via the Settings Training Manual. After the system notification has been received, the user can return to the pop up message and select 'Yes' to proceed with receiving the Exchange Order Out. |
