Task Card Authorization Explorer Supervisor

The role of the Task Card Authorization Explorer Supervisor allows restricted users to review Task Cards that have been released for authorization, as well as make minor configuration changes to the Authorization Steps regardless of their department or authorized group.

Note: As with all Supervisor functions, it is critical that this option be limited to restricted individuals since any user that has this security access can go in to the record and authorize steps.

Once a Task Card has been released for authorization via Task Card Authorization Management, or anytime during the authorization process, a user with the proper security access has the ability to go to Engineering/Explorer/Task Card Authorization Supervisor to view Task Cards that are pending authorization.

The Export as Excel button can be selected to view the queried data (including all pages) in an Excel spreadsheet. This Excel file can be saved for later use. For more information refer to the Export as Excel Button via the eMRO System Standards manual.

The Filter/Sort filter sort button button is used to alter the search criteria for records associated with the host module and window. For more information, refer to Filter/Sort Button via the eMRO System Standards Module.

As an example, when entering the Task Card Authorization Explorer Supervisor window, the system displays the following screen:

The functionality is very similar to that of the Task Card Authorization, with the major exception that the Authorization Update Step can not be accepted in Task Card Authorization Supervisor. The Authorization Update Step is required to be accepted in Task Card Authorization Explorer.

Upon selecting an individual Task Card to review, it will open the Authorization Step tree in the Task Card Supervisor Authorization window where the User can view all of the Authorization Steps for that specific Task Card.

Once the User decides which Authorization Step they wish to review, they must click the Authorization Step and select the 'Authorization' option as seen below.

Authorization

In addition to the ability to review Task Cards in Task Card Authorization Supervisor. the User can leave the Authorization Step in an Open status, Close the Authorization Step or place it in Pending Status or Reserve the Authorization Step.

The User also has the ability to make minor configuration changes to the Authorization Steps regardless of their Department or Authorization Group. These minor changes can be made to the Step Order Number, Step To On Rejection, as well as the Department/Division/Section or Authorization Group. The User can also remove the Authorization Step from Reserved status. These changes will be reflected for this Task Card only and will not update the Task Card Category System Transaction Code.

The following information/options are available in this window:

Department

The Department which has authority for approval of the specific Authorization Step.

Note: The Department is the only mandatory option.

Division

The Division which has authority for approval of the specific Authorization Step.

Section

The Section which has authority for approval of the specific Authorization Step.

Task Card Authorization checkbox

This checkbox is selected for the Authorization Step that will actually update the Revision and is the last Authorization Step.

Step Order

This number indicates the order of Steps if one or multiple Steps are created. This number is automatically created and can be overridden and changed to any number. It is recommended that the user enter Steps in a standard incremental pattern (i.e. Step 5, Step 10, Step 15, etc.) to allow for the insertion of Steps into the sequence at a later time if required.

Step To On Rejection

This indicates how the Authorization Process will react when a Step is rejected (Start, Return To, Re-Release). When an authorization Step has been rejected, the Step To On Rejection process begins based on the configuration of the Task Card Category System Transaction Code.

Start - Will return the Authorization Process to the first step.

Return To - Will return the Authorization Process to a specific Authorization Step as specified by the 'Return To' Step number in the Return To Step Order field.

Re-Release - Will return the Authorization Process to the queue where it will await Release For Authorization.

Reserved

This allows a user to reserve the step. This will lock that user into that specific authorization step and does not allow another user to accept the step. The name of the user who Reserved the Authorization Step will appear in the Reserved By field.

Open

All authorization steps are initially in Open status, until either Accepted or Rejected. A step can also be Open and Reserved at the same time.

Close

This option accepts the Authorization Step and places it in Closed status.

Pending

The Pending option rejects the Authorization Step.

Authorization Action

Select any of the below authorization actions. These actions will be recorded in the Revision History tab of Task Control.

Revised radio button - This is informational only.

Deleted radio button - This is informational only.

Added radio button - This is informational only.

Moved radio button - This is informational only.

Note: The default authorization configuration process is user defined based upon each users' individual business process needs and is set up via the Task Card Category System Transaction Code.

The User has the ability to add Authorization Steps by selecting the New button. Also, the Users have the ability to delete Authorization Steps using the Delete button. However, if the User attempts to delete the Authorization Update Step, the following hard warning will appear:

The User also has the option to change which Authorization Step is designated as the Authorization Update Step. The current Authorization Update Step can not be deselected first, the new Authorization Step that will be the Authorization Update Step must be selected first and the old Authorization Step is then deselected or the following hard warning will appear:

If a User attempts to change the Authorization Update Step to a Closed Authorization Step, they will get the following error message:

If a User attempts to Close the Authorization Update Step, a hard warning will prevent the revision to be processed and the User will get the following error message:

As noted earlier, the basic concept in Task Card Authorization Explorer Supervisor is very similar to Task Card Authorization Explorer, with the biggest exception that the Authorization Update Step can not be accepted in Engineering Authorization Explorer Supervisor, the Authorization Update Step is required to be accepted in Engineering Authorization Explorer.
