Quotes

Depending on a company's departmental procedures, once a request for an out-of-stock part has been submitted via the Requisitions module, obtaining quotes for the part may be required prior to the action of ordering the item.

This option will allow you to create multiple requests for quotations to vendors based upon the Requisition requirements. Quotes may be obtained for parts in any condition (new, overhauled, etc.).

Once the quotation from the vendor is received into your facility, the information can be input (or electronically transferred) to the system to record their response, and a decision made. Vendor response can be monitored and reported on.

The Search Screen can be used to find specific information to edit. The Request/Quote screens are used for entering new, or revising existing data.

Following the creation of a quote, it can be printed and sent or emailed to the vendor. Having the requisition number will be helpful for creating the quote. Quotes are normally prepared as a result of requisitions being generated. However, it is possible to generate a quote without a Requisition. Here, we will only deal with Quotes related to a Requisition. Quotes that are created without a Requisition can follow the same process, but omit the Requisition number.

There are five (5) steps required for the processing of the Quote option:

  1. Creating a new request for quote
  2. Selecting/Adding Vendor for ‘Request for Quote’ (RFQ)
  3. Adding additional Line Items
  4. Submitting the RFQ form to the Vendors/ Waiting for Reply
  5. Entering Quote Replies
