Authorizing the E/C via Engineering Authorization Explorer

Users can authorize an E/C via Engineering/Explorer/Engineering Authorization.

E/Cs will only appear in the Authorization Explorer queue if they have been 'Released' for authorization. Confirm that the E/C has been released to authorization via E/C/Update/Engineering Authorization Management. Once it has been Released for authorization, the E/C will appear in the Engineering Authorization Explorer window.

When using the Engineering Authorization Explorer:

Users can only authorize E/Cs if you have security access to Engineering/Update/Engineering Authorization Management option.

Users will only see steps that are related to your specific department, division, and section as defined in the Settings/Update/Employee Master option. If a user is not properly set up, access will be limited to querying the record only.

The Engineering Authorization Supervisor (Engineering/Explorer/Engineering Authorization Supervisor option) is used to view, edit, delete, add, and/or authorize all steps, regardless of the employee's department and security access to this option should be extremely limited. However, for the final Step in the Authorization Process, the department associated with the user who is authorizing the E/C and the department associated with the authorization Step must be the same.

For security purposes, the creator of the E/C cannot authorize the steps. To allow the creator of the E/C to authorize the steps, turn Switch ECSMPER (E/C Authorization Allowed By Creator) to Yes via System Administration/Explorer/System Transaction Configuration.

Go to Engineering/Explorer/Engineering Authorization. All E/Cs pending authorization will appear in the window.

Note: You can delete E/Cs from this window by selecting into the E/C, then clicking on the Delete button in the E/C window. Security access to the Delete button must be granted.

Select the E/C that you want to authorize along with the Step to be authorized.

 

The following information/options are available in this window:

Current/Pending Step icon_current_authorization_step_small icon

The current Authorization Step(s) pending acceptance. There may be more than one Authorization Step open due to Parallel Steps being created in the configuration of the E/C Category System Transaction Code.

Upcoming Status icon_upcoming_step_small icon

An Authorization Step that is waiting for a prior step to be actioned. These steps cannot be actioned until the prior step(s) have been accepted, however, these steps can be viewed in Query Mode.

Accepted Status icon_accepted_step_small icon

An Authorization Step that has been accepted. These steps can be viewed in Query Mode if required.

Select into the Step to be authorized and the Engineering Authorization window will open:

Select the Reserved checkbox to temporarily prevent other users from the same department from modifying the record.

Choose from the Accept or Rejected radio buttons. The default value is Open.

In this example, Accept is selected. Select the Save button.

Reject - If you choose to Reject, the process will return to the Step number specified in the Step To On Rejection field (located in the Authorization Step set up). If this is a one Step Authorization process, it will return to the start.

The user will be required to enter a Rejection Reason which will be associated with the 'Rejected' selection.

This reason will become a part of the notes history for the item.

Once an E/C has been 'Accepted', the E/Cs Authorization Status will now read 'Accepted' on the E/Cs Authorization Tab.

Select the Save button to return to the Engineering Authorization window.

Once all steps have been authorized, the status of the E/C will be 'Open'.
